Privacy Policy

This policy explains what we do with the information you give us when you use this website or place an order.

Who is responsible for your data

OLIVIA NAIL SUPPLY LTD, a private limited company registered in England and Wales under company number 17517481, with its registered office at Office 15929, Initial Business Centre, Unit 7 Wilson Business Park, Manchester, M40 8WN, United Kingdom, is the data controller for the personal data described in this policy. You can contact us about anything in this policy at zoehbb@gmail.com.

What we collect

  • Contact details you enter on our forms or at checkout: name, company, email, phone, billing and shipping address
  • Order information: products, quantities and payment status
  • Technical information: pages visited and roughly where you are connecting from

How we use it

  • To quote, produce and ship your order
  • To answer your enquiries
  • To send order confirmations and delivery notifications
  • To send product news if you subscribed — you can unsubscribe from every email

Our lawful basis for using your data

We rely on the following lawful bases under the UK GDPR and, where applicable, the EU GDPR.

  • Performance of a contract — to quote, produce, invoice and ship your order, and to handle returns.
  • Legitimate interests — to prevent fraud and abuse, keep our records accurate, and improve the site. We balance these against your rights and you may object at any time.
  • Consent — to send you marketing email. You can withdraw consent from every email we send.
  • Legal obligation — to keep tax, accounting and customs records for the periods the law requires.

Payment information

We do not store card numbers. Card details are handled by our payment processors on their own secure systems.

Sharing

We share data only with the parties needed to fulfil your order — couriers, payment processors and export agents — and where the law requires it. We do not sell your data.

Third parties who process data for us

We share personal data only where it is needed to run the shop, and only with processors bound by written terms. The main ones are:

  • Payment providers — Antom and WooPayments process card and wallet payments. We never see or store your full card number.
  • Hosting and infrastructure — our server and database are hosted by Hostinger.
  • Email — WP Mail SMTP for transactional mail, MailPoet for newsletters.
  • Analytics and site features — Jetpack and WooCommerce Analytics, operated by Automattic.
  • Advertising — Google (Google Listings & Ads), TikTok, Snapchat and Reddit, where you have consented to marketing cookies.
  • Logistics — international couriers and freight forwarders, who receive the name, address and phone number needed for delivery.
  • Customs and export agents, where the law requires shipment documentation.

Your rights

Under the UK GDPR and the EU GDPR you may ask for a copy of your data, ask us to correct or delete it, restrict or object to our processing, or ask for it in a portable format. Email zoehbb@gmail.com and we will respond within one month. If you are not satisfied with our response you have the right to complain to the Information Commissioner’s Office (ICO), the UK supervisory authority, at ico.org.uk or on +44 303 123 1113. If you live in the EU or EEA you may complain to your national supervisory authority instead.

Cookies

This site uses cookies to keep your cart and preferences working, and — only with your consent — for analytics and advertising. The categories we use, and how to change your choice, are set out in our Cookie Policy. You can also block cookies in your browser, though parts of the shop may stop working if you do.

How long we keep it

Order, invoice and customs records are kept for six years from the end of the relevant financial year, as required for UK tax purposes. Enquiries that do not become orders are deleted after 24 months. Marketing contact details are kept until you unsubscribe, then suppressed so we do not email you again. Website analytics data is kept for 14 months.

Transfers outside the UK and EEA

Our manufacturing and fulfilment operations are in China, and some service providers are based outside the UK and EEA. Where personal data is transferred outside the UK, we rely on the UK International Data Transfer Addendum to the EU Standard Contractual Clauses, together with a transfer risk assessment. Where data moves from the EU or EEA, we rely on the EU Standard Contractual Clauses. Transfers are limited to what is needed to produce, pack and ship your order. You can ask us for a copy of the relevant safeguards.
